The engagement focuses on a defined process: what starts it, its intended result, the people involved and the tools they use. We propose walking through a representative example with the people doing the work, distinguishing the planned steps from everyday practices.

We then examine waiting periods, rework and missing information. An improvement might mean a clearer decision rule, a better form or an explicit responsibility. Selecting software and implementing automation are separate activities to scope when the findings justify them.

Improve the process with the people involved

    Choose the process and specify where it starts and ends. Identify its owner, the teams involved and the information available.

  2. Walk through the work

    Compare representative situations, gather pain points and validate the process map with the people performing the tasks.

  3. Choose an improvement

    Compare options and define a change that is specific enough to try, with an owner and an evaluation criterion.

  4. Review and adjust

    If a trial is included in the engagement, review its results, document exceptions and decide on next steps with the team.

Questions before you start

Do we need to replace our software?

Not necessarily. The assessment examines working practices and features you already have. It helps distinguish an organizational issue from a technical limitation before deciding on configuration changes, integration or replacement.

What should we prepare?

Choose a process that causes problems and identify the people who understand it. A description of the steps, tools and a few representative situations is enough to start defining the engagement. Detailed documents and access requirements can be agreed afterwards.

How do we assess an improvement?

We propose defining a baseline and an indicator tied to the problem. The comparison accounts for workload, exceptions and changes in circumstances. A benefit cannot be inferred simply from the number of steps removed.
